Director of First Impressions

Position Summary
The Director of First Impressions serves as the first point of contact for clients of Oak Bank both in person and over the phone. The Director of First Impressions must be well organized, flexible and have multi-tasking ability. They must display a high level of professionalism and courteousness at all times to clients and associates.
Essential Duties and Responsibilities include but are not limited to the following:

  • Lead the daily functions of the lobby area so client service is delivered at an outstanding level
  • Project a professional, service-oriented image to all clients, vendors, visitors, and Associates
  • Operate a multi-line telephone and receptionist software to ensure calls are directed to appropriate departments in a courteous and efficient manor
  • Exhibit confidence and maintain confidentiality in all duties and communications
  • Provide administrative support to the CEO, President, and other Oak Bank associates
  • Coordinate various ongoing and as-needed projects by creating and maintaining documents using MS Office Suite and other database or web-based applications
  • Provide account and other bank-related product and service assistance to bank clients in-person and over the phone
  • Assist in Board meeting preparations including uploads to BoardPaq software and meeting room prep
  • Assist in administration of Oak Financial Inc. shareholder needs including record retention, stock transactions, mailings, dividends, annual meetings, proxy votes and updating Cambridge software
  • Assist with Marketing needs on an as-needed and as-available basis
  • Issue timely bank related communications and coordinate various bank-related events and support with detail and accuracy
  • Maintain kitchen and client refreshment areas and supplies to ensure cleanliness and good order
  • Manage inventory of bank-wide office supplies
  • Act as general liaison for bank facility needs including landlord and vendor communications
  • Manage overall bank mail including postage meter for outgoing mail, distributing incoming mail, faxes, and coordination of overnight packages via UPS, Fed Ex, etc.
  • Assist with and attend special bank functions as needed
  • Demonstrate reliable attendance
Required Knowledge and Skills include but are not limited to the following:
  • High School Diploma or equivalent
  • Strong interpersonal etiquette and written communications
  • Experience as receptionist/administrative assistant preferred
  • Proficient knowledge of MS Office Suite
  • Friendly, positive attitude and sense of humor
